Annual Maintenance Completed

AGIIS undergoes a comprehensive series of maintenance activities each year, typically over two weekends in November or December. This year, maintenance was completed on November 8 and November 15.

On November 8, updates included:

  • Locatable Address Conversion System (LACS) updates
  • National Change of Address (NCOA) updates
  • Orphan deactivation
  • City/state validation
  • Address standardization

On November 15, the annual de-duplication process was completed.

A detailed description of each activity is provided below:

  • Locatable Address Conversion System (LACS)
  • Updates were applied to convert rural route addresses to standardized physical addresses.
  • National Change of Address (NCOA)
  • Address changes reported to the U.S. Postal Service were applied to applicable AGIIS entities.
  • City/State Review
  • Entities were validated to ensure the city and state correspond correctly with the assigned postal code.
  • Address Standardization
  • All AGIIS entity addresses were standardized according to USPS formatting requirements.
  • Orphan Deactivation
  • Entities not included in any subscriber subset for four years were inactivated.
  • Annual De-duplication
  • The de-duplication process identified duplicate AGIIS entities and retained a single surviving record based on established survivorship prioritization rules.

Duplicate Prevention Tips

You can help reduce duplicates in AGIIS by following these best practices:

  • Search for the business name and address before adding a new entity.
  • For growers, search by last name and address.
  • Review potential duplicates, including tight and fuzzy matches.
  • Search for common nicknames (e.g., William/Bill, Henry/Hank).
  • Use the wildcard search feature when appropriate.
